Job Summary
The New Student and Family Transitions (NSFT) Office Manager plays a central role in Augusta University's student retention initiatives and Strategic Enrollment Management plan. This position manages the NSFT's budget and financial operations, coordinates logistics for orientation sessions and family programs (serving thousands of participants annually), oversees administrative operations and a team of student employees, and provides direct support to the Director. The Office Manager ensures that every behind-the-scenes operational detail, from budget reconciliation to event setup to visitor welcome, aligns seamlessly so that students and families experience exceptional, high-quality programming from their very first interaction with the university. This role combines operational excellence with meaningful opportunities to contribute to student development and institutional enrollment goals.
Responsibilities
FINANCIAL ADMINISTRATION AND BUDGET MANAGEMENT: Manage all unit budget accounts, including operating, program revenue, and student payroll lines, performing expense tracking, projections, and monthly reconciliation. Proactively alert leadership to budget variances with recommended adjustments to maintain fiscal health across all NSFT cost centers. Oversee payroll projection and reconciliation for student employees and graduate assistants, ensuring accuracy of hours, funding source allocation, and compliance with institutional payroll deadlines. Obtain vendor quotes, prepare and process purchase requisitions, reconcile P-Card transactions, and coordinate program refunds through TouchNet. Maintain organized documentation for audit readiness. Monitor orientation and family program revenue streams, track fee collection against enrollment targets, and maintain organized, confidential financial records that support annual budget planning and mid-year reporting.
ADMINISTRATIVE OPERATIONS AND LEADERSHIP SUPPORT: Provide direct, high-level administrative support to the Director, including calendar management, travel arrangements, meeting preparation, correspondence drafting, and coordination of materials for presentations to divisional leadership. Serve as the welcoming first point of contact for the office, greeting visitors, managing multi-line phone systems, and triaging email and walk-in inquiries from prospective students, current students, families, and campus partners with professionalism and warmth. Maintain and continuously improve office systems, including digital and physical filing, personnel records, supply inventory management, and procurement processes to ensure operational efficiency. Manage information flow across the unit, serving as a communication hub that keeps leadership, Assistant Directors, and staff informed of deadlines, policy changes, campus developments, and operational issues requiring attention. Develop and distribute internal communications, including staff updates, meeting agendas, and operational reminders to keep the team aligned on priorities and informed of upcoming deadlines. Serve as the primary administrator of the Sortly inventory management system. Maintain accurate records of all NSFT equipment and supplies, conduct regular audits, and train staff on proper checkout/check-in procedures. Directly supervise and evaluate the student administrative support team. Develop work schedules that ensure consistent front desk coverage during business hours and adequate staffing for evening and weekend events. Process student employee payroll accurately and on schedule. Lead onboarding, training, and professional development for student staff on office procedures, customer service standards, FERPA compliance, and performance expectations.
PROGRAM LOGISTICS AND EVENT COORDINATION: Coordinate end-to-end logistics for orientation sessions, family programs, and transition events, including room and venue reservations, catering orders, signage production, AV setup, and facilities arrangements, ensuring seamless execution across multiple concurrent programs. Create and maintain event maps, directional signage, and day-of operational materials. Develop and send participant communications, including confirmation emails, pre-arrival instructions, parking details, and post-event follow-ups. Serve as primary operational liaison with Facilities Management, Sodexo Catering, Campus Services, and EMS scheduling to coordinate event logistics, troubleshoot day-of issues, and build reliable campus partner relationships. Maintain proficiency in Slate CRM to support registration management, targeted communications, and data tracking for orientation and family programs. Manage TouchNet transactions, including payment processing, fee adjustments, and refund coordination. Generate reports, data extracts, and program summaries from Slate, TouchNet, and other platforms to support assessment efforts, inform decision-making, and contribute to annual reporting on program effectiveness.
NSFT SUPPORT: Assist in all Office of New Student & Family Transition initiatives and programming to meet the mission of the department, including onsite operational facilitation during LEAP Week, Parent & Family Weekend, and summer orientation sessions. Contribute to the development and implementation of new NSFT processes, procedures, and service improvements that enhance operational efficiency and the student and family experience. Support division-wide initiatives and pursue professional development opportunities to remain current on best practices in office management, higher education administration, and student services. Other duties, as assigned, to support the mission of Augusta University.

Required Qualifications
Bachelor's degree from an accredited college or university, along with one year of progressive office experience, to include supervisory experience, OR Associate's degree from an accredited college or university and seven years of progressive office experience, to include supervisory experience.

Salary: $43,888/annually-$44,029.69/annually
